The 5 Lies You’re Told About Project Management—And What Actually Works

From a senior PM who’s been in the trenches (and still knows how to joke through the chaos)

Everyone thinks they know what project management is—until they’re deep in a launch with 17 Slack threads, 22 clients in 7 time zones, and one Meta Ads specialist who just went offline.

I’ve managed dozens of projects, built agency teams from scratch, scaled client accounts, and cleaned up more chaos than I can count. Along the way, I’ve realized that a lot of the “rules” people follow in project management? Yeah… they’re myths. Outdated, unrealistic, and sometimes just straight-up wrong.

So here are 5 lies I hear all the time—and what actually works instead:

❌ Lie #1: The More Meetings, the Better

Truth: Meetings can be useful, but more meetings don’t equal more progress.

What teams actually need is clarity, not calendar invites. I’ve seen teams move faster with fewer touchpoints—because they’re empowered, not micromanaged. Want a high-performing team? Give them space. Build smart systems. Trust them to execute.

❌ Lie #2: A PM Should Attend Every Meeting and Oversee Every Detail

Truth: A great PM doesn’t hover—they lead.I don’t need to sit in on every call to know things are moving.

My job is to build a system where the team runs independently. I guide, troubleshoot, and step in strategically—not obsessively. Your devs and designers aren’t toddlers. Let them work like adults.

❌ Lie #3: You Should Always Use Formal Language with Clients

Truth: Every client has a different vibe—match it.

Some want weekly video calls. Some hate them and prefer a good ol’ WhatsApp voice note. Some like decks; others want quick Looms. The secret? Build a communication ecosystem tailored to that client. The best PMs don’t just manage—they adapt.

❌ Lie #4: PMs Just Schedule and Plan

Truth: Real PMs are in the trenches.

Submitting a strategy deck to the client? I’ll review it first. Ad specialist sending a report? I want to understand what we’re telling the client. I learn hard skills—from Meta ads to SEO—because I care about the results. I’m not here to blindly lead; I’m here to deliver.

❌ Lie #5: The Client Is Always Right

Truth: The client knows their company—but you know the process.

If a client wants to change something that affects positioning, strategy, or execution—we talk. We negotiate. We find common ground. You weren’t hired to nod and say “yes.” You were hired to lead with confidence.

A Few Lessons That Stuck with Me

These aren’t “rules,” just personal takeaways I’ve picked up while managing projects, scaling teams, and occasionally laughing through a crisis:

– Relationships matter. I naturally build friendships with clients and team members—it makes collaboration smoother, feedback easier, and work more enjoyable.

– Proactiveness isn’t optional. Clients trust PMs who show up with answers, not just questions.

– You can’t fake knowledge. If I’m managing a Meta Ads campaign, I’ll go learn the basics. Understanding the service makes me better at leading the team behind it.

– Decluttering is my superpower. I start every project by breaking down chaos into clean, actionable chunks. Only then do we move.

One Last Thing…

One of my mentors once told me:

“Kristina, we’re not saving lives—take it easy.”

And it stuck with me. We can aim for excellence and still have fun. I bring jokes to every project call because you won’t get great results when everyone’s stressed out. You get them when the team’s motivated, supported, and—yep—laughing a little.
